    The Human Resources Department is seeking applicants for its HR Assistant position who can provide excellent customer service and administrative support, ensure accurate data entry in our HRIS systems, and create and maintain personnel records consistent with statutory requirements.  The ideal candidate will be highly organized, creative and detail oriented, enjoy interacting with people in a friendly work environment, and take satisfaction from working in an Agency whose mission is to protect the fundamental legal rights of indigent persons.

    POSITION OVERVIEW

     

    The Human Resources (HR) Assistant is a key position on the Human Resources Team for the Committee for Public Counsel Services (CPCS).  We are seeking applicants who can provide excellent customer service and administrative support, ensure accurate data entry in our HRIS systems, and create and maintain personnel records consistent with statutory requirements.  The ideal candidate will be highly organized, creative and detail oriented, enjoy interacting with people in a friendly work environment, and take satisfaction from working in an Agency whose mission is to protect the fundamental legal rights of indigent persons.  The HR Team is committed to providing excellent customer service to all our employees in a client-centered work environment characterized by dedication to the agency mission, inclusion, and respect for diversity.  The HR Assistant reports directly to the Assistant Director of Human Resources Management and also receives guidance from the Director of Human Resources Management. 

    Qualifications

    MINIMUM ENTRANCE REQUIREMENTS

     

    At least three years of full-time, or equivalent part-time, professional experience in Human Resources; proficiency in and experience with Microsoft Office systems (Outlook, Word, Excel, Access, and Power Point); ability to maintain confidentiality and to exercise considerable judgment and discretion; and excellent customer service and communication skills.  A Bachelor’s degree in a related field may be substituted for the required three years of HR experience, and an Associate’s degree may be substituted for one year of the required HR experience. 

     

    PREFERRED QUALIFICATIONS

    • Prior Commonwealth HR experience
    • Knowledge of and experience working with HRCMS (or PeopleSoft applications)

    Responsibilities

    RESPONSIBILITIES

     

    Provide excellent customer service to all who interact with the HR department by responding in a timely, accurate, respectful, and professional manner to customer service questions and requests.

    • Play a key role in the on-boarding of new Agency staff by entering employees in the Commonwealth’s HR system (currently HR/CMS), assisting with benefit orientations for new hires, entering relevant benefit options at time of employment, preparing Employee ID cards, and creating new hire folders.
    • Create, maintain, and update personnel files for current and former employees to ensure confidentiality, timely and accurate recordkeeping, and compliance with applicable statutes; when needed, scan documents to create an electronic system of personnel records and maintain that electronic system.
    • Coordinate internship/volunteer on-boarding process
    • Process and complete employee verifications for various items, including credit and mortgage applications, Public Service Loan Forgiveness, and tuition remissions
    • Order and track business cards for employees consistent with the established process, and create and edit employee ID cards as needed
    • Assist with recruitment activities needed to maintain our on-line applicant tracking system (currently iCIMS
    • Assist as needed with the administration of Employee Leaves of Absence and the administration of Benefits
    • Assist with employees leaving the Agency, particularly around health insurance, pension, and other paperwork
    • Maintain and organize HR Office Suite, including ordering of office supplies and brochures on benefits or materials needed for recruitment or other HR activities.
    • Handle incoming and outgoing mail for the Department.
    • Provide general administrative support to other members of the HR Team, including monitoring the Department’s phone and email communications
    • Assist HR Director and HR Team Department with special projects as assigned and provide back-up for other HR staff when needed.
